International Delhi Foundation School (“IDFS”, “we”, “us”, or “our”) operates the International Delhi Foundation School Android mobile application (“App”) and the associated school management/ERP services available through https://idfs.in/.

This Privacy Policy explains how we collect, use, store, protect, and disclose information when students, parents/guardians, teachers, administrative staff, and other authorised users (“Users”, “you”, or “your”) use the IDFS School App and related services.

By using the App, you acknowledge that you have read and understood this Privacy Policy.

1. About the App

The IDFS School App is an educational and school-management application connected to the school’s own ERP system. The App is intended to provide authorised students, parents/guardians, teachers, and school administrators with access to school-related services and information.

Depending on the User’s role and permissions, the App may provide access to services including:

Attendance information
Academic information and results
Class and subject information
Homework and assignments
Examination information
School notices and announcements
Timetables and schedules
Fee-related information
Teacher and staff information
Communication between the school and authorised Users
Other school-management services made available by IDFS

2. Information We Collect

The information collected through the App depends on the User’s role, the services being used, and the features enabled by the school.

A. Account and Identification Information

We may collect information such as:

Student name
Parent/guardian name
Teacher/staff name
Administrative user name
Student admission/enrolment information
Employee/staff identification information
Class, section, academic year and related school information
Contact information such as email address and telephone/mobile number
Username or login identification
Information necessary to authenticate an authorised User

B. Educational and School Information

For authorised Users, the App may process school-related information including:

C. Information Provided Through the App

Depending on the features enabled by IDFS, Users may provide information through the App, including information submitted in forms, communications, applications, feedback, requests, documents, or other school-related activities.

D. Device and Technical Information

When you use the App, certain technical information may be processed automatically where necessary for the operation, security, troubleshooting, and improvement of the App. This may include:

Device type and model
Operating system and version
App version
Network and connectivity information
Device identifiers or similar technical identifiers where required
Log and diagnostic information
Crash or error information

We do not use technical information to create advertising profiles of students.

3. Information Relating to Children and Students

The IDFS School App is designed to support the educational and administrative activities of a school and may be used to access information relating to students who are minors.

Student information is processed for legitimate school-related purposes, including education, administration, communication, attendance, examinations, academic records, school activities, and related services.

Where required, the school may obtain appropriate consent or authorisation from parents or legal guardians for the collection and processing of information relating to students.

Parents/guardians and authorised school personnel may access student information according to their respective roles and permissions.

We do not knowingly use student information for targeted advertising.

We may use information collected through the App to:

Authenticate and manage User accounts
Provide access to school services
Maintain student, parent, teacher, and administrative records
Manage attendance
Provide academic and examination information

5. School ERP Integration

The IDFS School App is connected to the school’s own ERP system operated in association with https://idfs.in/.

Information displayed in the App may be synchronised with or retrieved from the IDFS school ERP. The information available to a User is determined by the User’s role and access permissions.

For example, a parent may have access to information relating to their child, while a teacher or administrator may have access to information necessary for performing their authorised school responsibilities.

Users should not share their login credentials with other individuals.

6. Sharing of Information

We do not sell or rent student, parent, teacher, or school-user personal information to third parties for advertising purposes.

Information may be accessed or shared only where reasonably necessary for the operation of the school and its services, including:

Authorised school administrators and staff
Authorised teachers
Parents or guardians according to their authorised access
Students according to their authorised access
Technology, hosting, infrastructure, security, or technical-support providers working on behalf of the school
Service providers necessary to operate specific App functionality
Government authorities, regulators, courts, or law-enforcement agencies where required by applicable law
Other parties where disclosure is authorised by the User, parent/guardian where applicable, or required for a legitimate school-related purpose

Any third-party service provider receiving information is expected to handle such information appropriately and only for the purposes for which it is provided.

7. Payments and Financial Information

The IDFS ERP may maintain information relating to school fees and payments.

Where online payment services are provided through a third-party payment gateway, payment processing may be handled directly by the relevant payment service provider.

We do not intend to collect or store complete credit/debit card numbers, CVV numbers, UPI PINs, passwords, or other sensitive payment authentication information through the IDFS School App unless specifically required by a payment service and handled in accordance with applicable requirements.

Users should review the privacy practices of any third-party payment provider before completing a transaction.

8. App Permissions

The App may request access to certain device permissions when a particular feature requires them.

Depending on the features enabled in the App, permissions may include access to:

Notifications
Camera
Photos, media, or files
Microphone
Location
Other device functionality required for a specific feature

Permissions are requested only when required for the relevant functionality. Users can manage available permissions through their Android device settings.

If a particular permission is not required by the current version of the App, the App will not request that permission merely for advertising or unrelated purposes.

However, no electronic transmission or storage system can be guaranteed to be completely secure. Users should protect their login credentials and immediately notify the school if they believe their account has been accessed without authorisation.

11. Data Retention

We retain personal and school-related information for as long as reasonably necessary to:

Maintain educational and administrative records
Meet legal, regulatory, accounting, or reporting obligations
Resolve disputes

Retention periods may vary depending on the type of information and applicable legal or school-record requirements.

Where deletion is requested and legally permissible, we will take reasonable steps to process the request within an appropriate period.

Keeping their username, password, OTP, and other authentication information confidential
Using only their authorised account
Not sharing another person’s school information without permission
Providing accurate information where requested
Immediately reporting suspected unauthorised account access
Using the App only for lawful and authorised school-related purposes

14. Third-Party Services and Links

The App or associated services may contain integrations with third-party services or links to external websites.

Third-party services operate under their own privacy policies and terms. IDFS is not responsible for the privacy practices of third-party websites or services that are not operated by the school.

Where applicable, Users should review the privacy policy of the relevant third-party service before using it.

15. Advertising

The IDFS School App is intended for educational and school-management purposes.

We do not use student personal information for targeted advertising.

We do not sell student or parent personal information to advertisers.

16. International Data Transfers

Depending on the hosting, infrastructure, or third-party services used to operate the App and ERP, information may potentially be processed or stored on servers located outside the User’s immediate location.

Where applicable, reasonable safeguards will be used to protect personal information in accordance with applicable laws and contractual requirements.

17. Privacy of School Staff and Teachers

Information relating to teachers, administrative staff, and other authorised personnel may be processed for legitimate school-management purposes, including authentication, attendance, timetable management, communication, academic administration, payroll or fee-related administration where applicable, and other employment or school-management functions.

Access to such information is restricted according to role and authorisation.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the App, ERP, school services, applicable laws, or our privacy practices.

The updated Privacy Policy will be published on the IDFS website and/or within the App where appropriate.
